What is business context for AI, and why does a company need it?
Business context for AI connects the processes, data, knowledge, permissions and decision rules that govern how a company actually operates. It enables an AI assistant to know which information it may use, what it may propose and which exceptions it must refer to a person for approval. Without this context, it may sound convincing while working from incorrect or generic assumptions.
What business context consists of
A folder of documents or an export from your ERP is not enough. AI needs to understand the relationships between five layers:
- Processes - how an order moves from enquiry to invoicing.
- Data - where it originates, who updates it and which source can be trusted.
- Knowledge - instructions, experience and exceptions that often remain only in people's heads.
- Decision rules - what can happen automatically and what must be approved by a person.
- Permissions - who may view customer, pricing, personnel or production data.
Why documents alone are not enough
A document may describe the official procedure while the company actually works differently. A price list may be current but omit the rules for non-standard orders. Stock levels may exist in the ERP, but they are not a reliable basis for decisions if receipts are entered late.
Business context is therefore not created by uploading files in bulk. It is created by verifying sources, describing relationships and assigning responsibility.
How to recognise usable context
For every piece of information, it must be clear:
- where it comes from and how current it is,
- who is responsible for it,
- who may access it,
- which decision it is used for,
- what should happen if it is missing or sources conflict.
Only with this foundation can an AI assistant help consistently and its recommendations be checked.
