Why doesn't an AI assistant understand my company even when it has access to our documents?
An AI assistant usually fails to understand a company because the documents do not describe the entire real-world process, have no clear owner or conflict with current data in other systems. Access to files alone does not reveal which source is valid, who may approve what or how exceptions should be handled. The assistant needs verified business context, not simply more text.
Access is not the same as understanding
Giving a new employee access to the entire shared drive does not mean they will handle enquiries correctly on their first day. They do not know which price list is current, who approves discounts or how to deal with a customer on non-standard terms.
The same applies to AI. It can retrieve text, but without additional rules it may not recognise whether a source is current and suitable for a particular decision.
The context that is most often missing
- The process is documented differently from how it actually works.
- The same figure appears in several systems with different values.
- Only experienced employees know the exceptions.
- It is unclear what AI may do and what it may only propose.
- Rules governing access to sensitive information are missing.
- No one is responsible for keeping knowledge up to date.
What to do first
Choose one specific task, such as preparing a draft quotation. Describe its inputs, verified sources, rules, exceptions and approvers. Only then does it make sense to test whether AI can support the task consistently.
