How do you ensure that AI follows company rules?

AI will follow company rules only when the rules are explicitly documented, linked to verified sources, limited by permissions and supported by human approval for important exceptions. A general instruction in a chat is not enough. The company must define what AI may read, what it may only propose, what it may carry out and who is responsible for checking and updating the rules.

Divide the work into four levels

  1. Read - which systems, documents and fields AI may access.
  2. Propose - which answers or actions it may prepare for a person.
  3. Carry out - which precisely defined actions it may perform automatically.
  4. Escalate - when it must stop the task and refer it to the responsible person.

These levels must be defined specifically for each process. Different rules apply to finding instructions and to changing a price or an order deadline.

Base the rules on verified sources

For every rule, define where the current version is held, who owns it and how a change reaches the AI. If the assistant reads several conflicting documents without an order of priority, it has no basis for making the right decision.

Retain human approval

People should approve non-standard prices, contractual commitments, changes to the production schedule and actions that affect customers or finances in particular. AI can prepare supporting information and flag a discrepancy, but responsibility must remain clearly assigned.

Monitor actual results continuously

Testing at launch is not enough. Monitor error rates, corrections made by people and cases that the assistant was unable to resolve. These cases show which rules or data need to be added.
